University guidelines require staff to declare where and how they have used AI when producing teaching and learning materials and activities and to discuss this use with students. This guide provides practical advice on ways in which this declaration can be made and allows staff to generate tailored transparency statements to add to subject materials.
Include a transparency statement
Discussing your use of AI with students is an essential step in building trust and transparency. To support this transparency, it is also recommended that a statement be included within the LMS site for the subject. Depending on the extent and complexity of your AI use, this statement should be located on:
- A dedicated ‘GenAI use in teaching declaration' Canvas page linked from the Home page
- The subject overview page in a highlighted ‘box’

Discuss your use with students
Consider using time in your first class or lecture to start a discussion on responsible use of GenAI. You can point to the statements as examples or discuss an instance of how you used GenAI. This can help open a conversation around professional practice.
Suggestion on what to say in your first class
- Frame AI as another tool rather than as a source of expertise.
- Describe where AI assisted in the process of creating your teaching materials, whether it was drafting, editing, or other part of the process.
- Describe how AI-generated content was evaluated and what role your professional judgement and expertise played in ensuring academic rigor and pedagogical quality.
- Articulate how your use as an expert is distinct from student use, emphasising how professionals use AI to accelerate tasks they have already mastered, whereas students are still actively building that mastery. You might find referring to some of the material in the Introduction to GenAI module is useful here.
- Detail the boundaries governing student AI use within your course, explicitly communicating the disciplinary and educational reasoning that informed your approach.
