Top tips

  1. Ask attendees prior to the meeting if they have any accessibility requirements. Making adjustments for meeting participation are the responsibility of the meeting chair or organiser.
  2. Offer online or hybrid meetings as much as possible. These are the most accessible options.
  3. Provide the agenda and any meeting papers in advance. A week prior is a good rule of thumb.
  4. Make sure all meeting papers are formatted for accessibility.
  5. If you have an in-person venue, consider its accessibility and share information on this with attendees. Aim for a venue with adjustable lighting; level, lift or ramp access; space for wheelchair access; and accessible toilets nearby.
  6. If you’re the meeting chair, establish the meeting as a space where attendees can feel included, and where diverse needs will be respected. At the start of the meeting, consider making a statement to this effect.
  7. Include regular breaks especially for longer meetings. At least five minutes every hour is a good starting point.
