Preamble

The Undergraduate and Graduate Coursework Scholarships Sub-Committee is a sub-committee of Selection Procedures Committee and reports through Selection Procedures Committee to the Academic Board on all academic matters relating to coursework scholarships.

Policy in relation to numbers and types of scholarships is developed by the Sub-Committee as part of the overall Melbourne Scholarships Program, for approval by Planning and Budget Committee and the Academic Board.

1. Membership

Chair, Selection Procedures Committee or nominee (Chair or Deputy Chair)
One member of Selection Procedures Committee, nominated by the Chair of that Committee
Three members of academic staff nominated by the President, Academic Board
Vice-Principal and Academic Registrar (or nominee)
A Faculty or Graduate School Manager nominated by the Vice-Principal and Academic Registrar
Manager, Undergraduate and Graduate Coursework Scholarships
Up to two members co-opted by the Sub-Committee

It is expected that nominations and co-options for the Sub-Committee will be made in a manner that ensures that, as far as is practicable, its membership is drawn from a range of representation across undergraduate and graduate coursework degrees.

2. Term of Office/Appointment Date

Members serve a term of office of two years, commencing on I July in the year of appointment. Members may serve for more than one term to ensure a continuity of expertise of new and continuing members.

3. Chairperson

The Chair of the Selection Procedures Committee will appoint the Chair of the Sub-Committee.

4. Terms of Reference

4.1 To report regularly to the Academic Board through the Selection Procedures Committee on the principles applied in the award of undergraduate and coursework scholarships.

4.2 To advise and make recommendations to the Academic Board, through the Selection Procedures Committee, on any matters of policy relating to coursework scholarships and awards.

4.3 To conduct the selection of applicants for coursework scholarships on behalf of the Selection Procedures Committee in accordance with the policies of the Academic Board.

4.4 To have oversight of coursework scholarship nominations from Faculty Scholarship Selection Committees.

4.5 To establish guidelines within which routine applications from recipients of undergraduate and graduate coursework scholarships for variations to their scholarship status can be administered by the Scholarships Office.

4.6 To review the academic progress of recipients of undergraduate and graduate coursework scholarships and make recommendations as appropriate to the President of the Academic Board.

5. Reporting

5.1 All decisions of the Sub-Committee shall be reported to the Academic Board through the Selection Procedures Committee and, where appropriate, to the Planning and Budget Committee.

6. Delegated Authority

6.1 The Chair of the Sub-Committee or, in their absence, the Deputy Chair of the Sub-Committee, is authorised to approve on behalf of the Sub-Committee offers to applicants for coursework scholarships and awards, referring to the Sub-Committee those cases that create precedents or that do not clearly meet current guidelines.

6.2 The Chair of the Sub-Committee or, in their absence, the Deputy Chair of the Sub-Committee, is authorised to act on behalf of the Sub-Committee where an urgent matter relating to the award of an individual coursework scholarship is referred to the Chair by the Scholarships Office.

6.3 All decisions of the Chair or Deputy Chair must be reported to the Sub-Committee.

7. Appeals

Appeals against any decision of the Sub-Committee will be referred to the University’s Grievance Policy.
