TRIM/EDRMS Projects
What is TRIM?
TRIM (Tower Records & Information Management) is a leading Electronic Document and Records Management System (EDRMS) software solution.
What is an EDRMS?
An EDRMS is an electronic document and records management system. An EDRMS can be a simple thing (e.g. an excel spreadsheet could be used to track and manage a simple set of records and documents) or an EDRMS can be a sophisticated system like TRIM (see above).
At the University of Melbourne, TRIM has been the preferred EDRMS solution for over 10 years. TRIM has been used within Central Records to manage the corporate records, including central correspondence files, legal agreements, etc, both paper and more recently, electronic records.
The benefits of using a sophisticated EDRMS solution to manage corporate records and documents at an enterprise level include:
- Controlled language for file titling (via use of the Enterprise Classification Scheme)
- Version control
- Ability to use metadata to describe the records
- Location information
- Ability to implement disposal and archiving functions
- Ability to share records/documents easily
- Sophisticated searching functions
- Audit function
- Sophisticated security and access controls
Current TRIM/EDRMS Projects
Currently, we are running a number of interrelated EDRMS projects in Records Services. The first is the Business Requirements Gathering Project. The idea is to collect information about user needs in order to help influence the shape of the projects that will follow.
The first part of these follow on projects, Proof of Concept Phase 1, will primarily affect current users of TRIM, mainly Central Records clients. Over the next few months (September – October) – users will notice some changes as the old CR dataset is replaced by a new dataset (called the Enterprise Dataset). More information about how this project will effect clients is located here at Information for Current Clients page - please check this page regularly for updates.
The second part of the project, Proof of Concept Phase 2, will see TRIM being rolled out to other areas of the University in a pilot phase. If the pilot phase works, it is hoped that more clients can then be added. The way in which Phase 2 will be organised will be dictated by the Business Requirements Gathering Project results.
