Records Services Managing Corporate Records

Information for current clients

Background

With the introduction of the Triple Helix and the Melbourne Model, there is more emphasis on knowledge sharing, and enterprise-wide systems. This has highlighted a need to modify the way that paper and electronic records and documents are managed.

We recognise the need for corporate records of the University to be available to all who need to access them. We also wish to discourage the creation of separate information silos. An information silo is where something is stored separately from other systems and often access to the information is limited (even when the information should be widely available and able to be shared). Information silos develop when people create ad hoc systems to manage information. We wish to improve our current systems so they can be more extendable and scaleable as well as being equipped with the appropriate security to ensure it can be used across the broader University community.

There are many benefits to sharing information. It often reduces duplication, and improves business efficiencies.

What to expect

Over the next 6 months we will be consulting with a range of clients who regularly use TRIM to ensure that we understand their needs as we expand our current system. All current clients of TRIM will notice some changes as we look to modify and expand the current system.

If you are a current TRIM user and would like to be involved in a working group or consulted further about proposed changes to the current system, please contact Kathryn Dan – kdan@unimelb.edu.au.

If you are interested in obtaining more information generally about the proposed changes to TRIM system in Central Records, please contact Kathryn Dan - kdan@unimelb.edu.au.

Courses are offered to new users or current users wishing to refresh their skills. Module 1 – Searching for Corporate Information demonstrates how TRIM can be used to search for information. Module 2 - Electronic Document Management instructs staff on how to capture their electronic documents (e.g. word documents, email, spreadsheets etc) in TRIM.
