Student responsibilities and liabilities
Student responsibilities and liabilities
Paying fees
Please note that once your enrolment has been confirmed you will remain liable to pay tuition fees unless you withdraw prior to the subject census date. Students who have previously studied at the University of Melbourne must pay any outstanding debts, e.g. library fines or student loan fees before they can confirm their enrolment.
Maintaining your enrolment record
You are responsible for maintaining your enrolment. This includes making any subject changes, paying fees or withdrawing from your subject by the required deadlines.
You are also responsible for checking your University email account on at least a weekly basis and notifying your faculty or graduate school of any concerns or problems you may have.
Withdrawing, applying for special consideration and refunds
You must notify your faculty or graduate school if you do not intend to proceed with your studies. You are eligible for a full refund of the tuition fees you have paid if you discontinue your CAP enrolment on or before the census date. You will not be eligible for a refund for any subject where the census date has already passed. Similarly, you will remain liable for any unpaid fees.
Each subject has its own census date. Search for the census date for your subject.
If you find you are having difficulties with your studies, talk to your tutors and/or lecturers. Depending on your circumstances, you may be eligible to apply for ‘special consideration’. CAP Officers can advise you on this. If you decide not to continue with your study, ensure that you notify your faculty or graduate school in writing.

Obtaining your CAP study results
Students who have completed an assessed CAP subject can check their results at the end of each semester via the Student Portal. They will be sent one free Academic Transcript after the end of semester. Please advise your faculty or graduate school if you do not receive your free transcript one month after the release of results. You will also need to make sure that the University has your correct mailing address by checking your ‘Personal Details’ on the Student Portal.
Gaining credit from CAP study
If you are not currently enrolled in a degree program and successfully complete an assessed CAP subject:
You may receive credit towards a diploma or degree at the University, if selected for entry to a course. Such credit is not, however, granted automatically. Please check with the relevant faculty or graduate school for further advice. The successful completion of a subject or subjects undertaken through CAP does not automatically qualify students for admission to an award course at the University; however, for some courses CAP may enhance their chances of selection.
If you are currently enrolled at the University of Melbourne and successfully complete a CAP subject, either assessed or non-assessed:
You will not receive credit towards your current award course at the University of Melbourne. If you are studying at another institution and wish to receive credit for CAP studies, you will need to make a request to your home institution for credit to be granted. You may wish to check your home institution’s credit guidelines before applying.
If you are undertaking CAP subjects for professional recognition (such as accounting or psychology):
Please note that it is your responsibility to ensure that the subjects are recognised by the relevant professional organisation or association.
Student support and services for CAP students
As an enrolled CAP student, you are able to:
- borrow from the University libraries and attend free library tours and information sessions that are recommended for new students
- use the services and/or advice of the Careers and Employment Unit, the Disability Liaison Unit, the Academic Skills Unit, Health Services, Counselling Service and Student Housing Services*
- receive advice from Financial Aid services
- have access to your own Student Portal including use of an official University email account.
* Please note that the level of access to these services varies and you should seek advice from the relevant faculty, graduate school and/or relevant student support services
In addition to the above support services, the Student Union also provides a wide range of cultural and extra curricular activities for students.
