Undergraduate Programs to be offered from 2009

 

Approval of New Courses for introduction in 2009 Approval Path Timetable

Part A:
Reviewed by Director, Academic Programs, Student Services, Vice-Principal (Planning) and Vice-Principal and Director: Financial Operations.

Part B:
Reviewed by UGPC shepherd and submitted to UGPC and SPC.

The deadline for inclusion of material in the 2009 VTAC Guide is 31 March 2008 . .If faculties/graduate schools wish to offer new courses for 2009, Part A must be approved by APMC no later than its 22 February meeting. A recommendation for in-principle approval would be made to Academic Board’s 28 February meeting and to Council’s 17 March meeting. Part B would be considered by UGPC on 3 March and by SPC on 17 March.

For courses to be introduced in 2010 and offered through VTAC, the deadline for approval will be March 2008. This is to ensure the courses are entered in 2011 VICTER.

Any changes to existing course entry requirements, which can only apply from 2011, must be approved in time for 2011 VICTER (ie no later than 27 March 2008 Academic Board meeting)

Details of courses and subject changes must be approved by APMC and UGPC no later than their September meetings in order to be included in the Handbook by 1 October 2008 and notified as required to the Department of Education, Employment and Workplace Relations (DEEWR – formerly DEST).

Department of Education, Employment and Workplace Relations (DEEWR) REPORTING OBLIGATIONS FOR COURSE AND SUBJECT CHANGES

Course reporting:

  • DEEWR deadline for reporting course offerings for the following year is 1 August
  • There are no time constraints on course changes after the initial reporting deadline, however only certain types of changes can be made. If changes are to be made after the deadline the University advises DEEWR on a regular basis via resubmission of the course of study file.

Types of change to be reported:

  • Newly introduced courses, changes of course name are allowable.
  • Changes to area of study, course level, course duration for courses already submitted are not allowable.

Subject reporting:

The University submits to DEEWR a schedule that includes subject codes, names, census dates, EFTSL values, student contributions and tuition fees. The University is also required to publish this information on the University website. The University reports only subjects that are actually offered, so exchange and complementary subjects are not reported at this point. In addition, there are a small number of subjects each year offered under Commercial Training Arrangements that are excluded from publication requirements as they are fully employer funded.

Timing:

  • Subjects with census dates 1 January to June 30 are reported 1 October in the previous year.
  • Subjects with census dates 1 July to 31 December are reported 1 April.
  • Up to 2 months prior to commencement of a subject, or if the change will not result in disadvantage to students, the University can advise DEEWR when a change is made.
  • Within 2 months of subject commencement, if the change will result in disadvantage to students, the University must to seek and receive Ministerial approval before the change can be made.

Types of change to be reported:

  • After the initial submission, changes to EFTSL, student contribution amounts, tuition fees or census dates need to be reported.
  • New subjects or additional semester offerings need to be reported.
  • Changes in subject name, subjects no longer offered do not need to be reported.

Changes in teaching or assessment dates may necessitate a change in census date, and changes in discipline group may lead to changes to student contribution or tuition fees. Generally, changes that do not disadvantage students would include any new or additional subject offerings, or changes where the University is reducing subject cost or postponing a census date. Changes that result in disadvantage to students are those that would increase subject costs, reduce EFTSL values or bring census dates forward.

CRICOS REGISTRATION

CRICOS registration is required before a course can be advertised overseas. CRICOS registration can take up to 8 weeks and requires the following:

  • Council approval;
  • Confirmation of annual and total cost of course for international students;
  • Sample of promotional material, including course description, structure (including any compulsory elements), streams and intended career outcomes (including professional registration if applicable).
