Submission of Course & Subject proposals to Academic Board & Board committees:
Program & course proposals including, new courses, major changes to courses and University Breadth Subject proposals must be submitted to the Academic Secretary by the dates listed in column 2.

Submission of a proposal does not guarantee approval. Proponents are advised to submit proposals in advance of the deadlines above as the Board committees may require changes to the proposals.

Proposals submitted after the dates in column 2 will commence the approval process, but shepherds will be allowed the same time to consider the proposal as if it had been timely, to ensure the quality and integrity of the proposal. This means that the proposal may not be submitted to the relevant committee(s) until the next meeting cycle.

All new course proposals require completion and approval of the Concept Proposal prior to submission of the new course proposal to the Board. Major changes that have resource implications must also submit a Concept Proposal. (See Provost’s web page)

The rows shaded in red are the deadlines for external reporting, internal publication, timetabling, VTAC submission, or international marketing.

Meeting cycle 1: (submission date 17 January): This is the deadline for any course requiring:

  1. VTAC inclusion for 2013
  2. New subjects and courses to be introduced in semester 2, 2012 must meet this DEEWR reporting and publication deadline for compliance purposes before it can be offered
  3. International marketing. To ensure that courses are approved in time for the international marketing fairs it is recommended that courses be forwarded for this meeting cycle.

Meeting cycle 4: (submission date 1 May). Courses need to be submitted to meeting cycle 4 deadlines, at the latest, to allow faculties to make any required changes in a timely fashion for final sign off by the Board. This is the deadline for:

  1. Compliance reporting and publication deadline for implementation in semester 1 2013.
  2. Timetable data collection and publication for implementation in 2013
  3. Handbook inclusion and publication for 2013. As much of the handbook is a direct feed from the student system, it is preferred that new courses and major changes, to be introduced in 2013, go through this Board cycle to ensure timely upload of program details.

Note that any program changes/new programs, subject changes/new subjects that miss Meeting Cycle 4 will not meet these critical deadlines for semester 1, 2013 implementation.
